Job Description:

We are seeking to hire an experienced Bilingual Administrative Assistant to work for a Director.

The selected individual will perform administrative, secretarial and clerical functions for the Department and national committees supported by the Department.

They will independently carry out assigned tasks, including routine correspondence, database management and updating English and French webpage content.

Duties include:

  • performs secretarial and administrative functions related to the Department, managing tasks assigned by numerous staff
  • assists the Director and Associate Director as needed
  • transcribes, formats, revises, assembles and circulates various reports, memos, and other simple and complex documents
  • maintains information in database as required
  • responsible for creating and maintaining departmental files and bring forward system
  • tracks and compiles materials and information related to groups supported by the Department
  • proofreads and coordinates translation of documents as required
  • updates the Section Handbook (online and paper) in English and French
  • with minimal direction, updates webpages in English and French (training provided)
  • responds to inquiries staff, members, and the public according to policy

Preferred Skills:

Minimum Educational Requirements: Grade 12 secondary school diploma and a Secretarial or business training or equivalent administrative experience

  • ability to work independently, with a high level of accuracy

Preferred Qualifications:

Basic understanding of HTML

Voluntary experience or exposure to association work

  • shows initiative and accepts responsibility in handling departmental requests
  • ability to draft routine correspondence in French and English
  • excellent verbal communication skills in English and French
  • fast and accurate word processing skills – Microsoft Office
  • ability to prioritize and effectively manage multiple tasks, often with conflicting deadlines
  • demonstrates tact, congeniality and effectively works with other people as a member of a team
  • excellent organizational skills, with the ability to manage tasks assigned by numerous staff and work under pressure
  • available to work overtime as required
